Circulation Committee Meeting Minutes

Chairwoman Nancy Wardell called the meeting to order at 10:40 AM.
Minutes from the November 13, 2002 meeting were sent previously to the committee, and are available on the website.
Discussion items:
1. Nancy asked for comments/issues regarding C-Car service:
a. consensus was that c-car is now providing a good, reliable service
b. Kathie suggested that Nancy contact Sharon B. to clarify the issue of using LION transit slips instead of c-car routing slips.
c. Please don’t use tape to affix routing slips to materials
d. CDs/DVDs should be put in envelopes to prevent theft during shipping
e. Middletown requests that libraries make service center materials are clearly marked for MLSC; Middletown is getting lots of these materials in error.
2. ILL OCLC brokering issue: CLC is putting out an RFP to outsource the service. Those libraries in attendance thought OCLC brokering a key service and expressed concern that neither the State Library nor the CLC considers this a priority service. Mark inquired about success with LC ILL service: WAL has not had good fill rate, MDT has had fill rate from LC. Next CLC ILL meeting October 1st. No recommendation for action was made at this time.
3. There was a brief discussion regarding the compatibility of patron placed reQuest holds and Dynix holds. Libraries are finding that patron place holds through reQuest that are available in the library.
4. Durham asked for feedback regarding ILL of CD’s and DVD’s . Most libraries present said they have had no problems with making their CD’s and DVD’s available through the holds matrix.
5. Mark reminded the group to contact him if they are experiencing any problems with holds. Sometimes he is seeing irregularities that he needs to clean up from the system.
6. Kathie and Mark remind everyone to run their RHSA reports. If you need help clearing out this report contact Mark.
7. RMIS report should be run along with RMS to give an accurate report of circulation statistics.
8. Nancy, Kathie and Christine will be compiling a ‘things to know’ list for LION circulation policies and issues. Anyone who would like to be involved in this project, please contact Nancy.
9. Mark will send out URL’s for circulation, bibliographic and other manuals that are available on the LION website.
10. Ivoryton Library is using the message at the bottom of their receipt to promote programs, etc. Mark will send out instructions in how to do this, or call him if you would like more info. on this.
11. Homebound module can be added, call Mark if interested. If anyone has a Homebound manual, please let Mark know.
12. Homeschoolers: some libraries treat homeschooling patrons as teachers and do not charge fines.
13. Lost items: reimbursement goes to OWNING library. Fines: money stays at library where fine is paid. Library that receives payment needs to call other library to clear the fines.
14. Dynix mail is still used for ILL broadcast postings. All ILL staff should be checking this mail account. Ask Mark if you need more information.
15. Mark suggests taking e-mail addresses off website to prevent Spam. Some Spammers gather e-mail addresses from web sites. He suggests using a form to handle e-mails from your site.
16. Kathie suggested that a list of circulation and ILL contact people at each library be posted on the LION website.
17. Barcode labels: October. Mark can also arrange for libraries to purchase embedded barcode patron cards if anyone is interested.
18. Institutional cards: Meriden lists authorized users in the notes field. Most libraries keep the physical card at the Library. Some ID users, others don’t.
