LION BIBLIOGRAPHIC COMMITTEE
Meeting minutes February 12, 2008.
The meeting was called to order at 9:40 a.m.

Members present : Branford, Durham, East Haddam, East Lyme, Essex, Haddam, Ledyard, Madison, Meriden, Middletown, Norwich, Stony Creek, Wallingford, Westbrook, Woodbridge.

Bibliographic Manual Changes
Karen noted the section added to the manual regarding upgrading non-print material and the use of indicators. Since this is not a procedural change, it was decided that the changes did not need to go to the Board.

Audience codes in the 008 field
There was discussion about the usefulness of using “a,b,c,d,e “ in the audience field . This isn’t something that LION can enforce because of the large number of records that would have to be sent back for editing. Most remote records use “j” if anything is entered at all.

MARC leader field and the 008 field
Karen has discovered a problem with 008 field and the MARC leader, which determines what type of codes are in the 008. The leader will appear only after the ISR is filed. Regardless of the material type chosen, the leader is always “a” for print material. In order to get the correct 008 you must change the material type in the leader. Expand the 008 field, collapse it, then expand it again. This will give you the correct codes.
Further discussion on the importance of the codes in the 008 and Marc leader took place.

It’s unclear whether they are involved in search limiting in the PAC, although they may be useful in the Create Lists function.

Durham Library has volunteered to test the codes for search limitations.

Karen concluded the discussion by noting that since not many non-print items are sent back to libraries for upgrading, LION will most likely be able to edit these records.

Acquistion On Order Records
Middletown requested that the number of days the “in processing” notice that appears in PAC be changed from 14 to 28 days. This was agreed upon, and Alan will make the change.

Duplicate records
LION has discovered a growing number of duplicate records due to vendor tape loads and members failing to attach to existing records. Don’t create an ISR if a record with a matching title and ISBN is in the system ; attach to it regardless of the record quality. Creating another record with the same ISBN will result in the vendor’s creating a third record. If the record doesn’t have a 300 tag, the first library with the item in hand is responsible for adding that information.

Meriden’s BSE records
If you match on one of these records, attach to it. When attaching, change the cat date of 9-10-06 to the current date so that LION can see the records and upgrade it. The 300 field also should be added.

Graphic novels/series
A lengthy discussion and media presentation on graphic novels and how best to catalog them.

The current practice is to create one serial record and attach individual volumes to it, including title and ISBN information for each volume. The other option is to create individual bibliographic records for each title. PAC display and a problem with item holds are the concerns. Paula Soares offered to create examples of both. A meeting on March 11 will be held at the Wallingford Library with representatives from the PAC and CIRC committees

AMENDMENT – At Alan’s suggestion, I have asked that each Committee send a representative to the March 11th meeting in order to create a Task Force . Their recommendations will be brought to the Bib. Committee for action.

Please contact me if you would like to be on the Task Force. The size of the T.F. will be limited to encourage effective discussion.
